Job Summary
Reporting to the Corporate Attorney, the Paralegal will provide professional legal and administrative support to the Corporate Secretary/Corporate Attorney as it relates to corporate legal and corporate secretarial functions.

Dimensions
The position of Paralegal provides a range of clerical and administrative support services to the corporate legal and secretarial functions. The incumbent essentially applies established office practice skills and procedures, appropriate document processing and information storage technology to support the Corporate Secretary/Corporate Attorney. The incumbent operates under general guidance with access to supervisory assistance as required, and functions within clearly prescribed rules, regulations and internal controls. The position is bounded by clear performance expectations and has no financial authority.

Nature & Scope
The Paralegal has responsibilities ranging from creating and filing documents to interacting with attorneys and board members, as required. The incumbent provides professional administrative support as it relates to organising information, conducting research, writing reports and other facets of law as directed by the legal and corporate secretarial functions.

Duties & Responsibilities

  1. Draft, review (including proof-read) and finalise correspondence as directed by the Corporate Attorney.
  2.  

  3. Draft, review (including proof-read) and finalise other legal documents as directed by the Corporate Attorney.
  4. Conduct preliminary legal research as directed by the Corporate Attorney.
  5.  

  6. Provide professional administrative support to the Company Secretary/Corporate
  7. Attorney.

  8. Update and maintain the legal compliance database with new and amended laws and regulations which impact the company.
  9.  

  10. Manage the filing system for all corporate contracts for the Company.
  11.  

  12. Establish and maintain a comprehensive office management system.
  13.  

  14. Establish, maintain and organise all legal files including all electronic filing databases.
  15.  

  16. Coordinate the assembly and dispatch of documents for Board and Board sub-committee meetings.
  17.  

  18. Ensure that corporate statutory filings comply with the relevant legislation and governmental guidelines, including the State Enterprise Performance Monitoring Manual.

  20. Prepare and track all legal documents including court subpoenas, trademarks and patents, legal bills, legal

     

  21. Track all legal bills; matches charges with files to verify accuracy of invoices.

 

Job Specifications

Minimum Acceptable Academic Qualifications
A Bachelor of Law Degree or equivalent professional qualifications.

AND

Minimum Number of Years of Relevant Experience
Four (4) years’ corporate paralegal experience including experience in legal research and litigation. Commercial experience will be an asset.

Specific Skills and Knowledge

  • Computer literate with working knowledge of Microsoft Office suite of applications.
  • Sound interpersonal, communications and organisational skills.
  • Understanding of law, management and administration.
  • Understanding of corporate secretarial requirements.
  • Ability to comprehend and apply computerised database management systems.
